Team Assistant
Hours: Part-time 3 days p/w
Location: London (Hybrid)
Reports to: Founder/CEO
Role Overview:
We are seeking an enthusiastic and highly organised Team Assistant to provide essential support to our Founder/CEO, Community Manager, Communications Manager, and Programming & Editorial Manager. This role will be the backbone of our operations, ensuring that day-to-day tasks are handled efficiently, and that our leadership team has the support they need to deliver impactful programming, community engagement, and content across both national and international activities. You’ll be responsible for administrative duties, scheduling, coordinating meetings, and helping with the execution of events, all while playing a key part in fostering our inclusive and vibrant community.
Key Responsibilities:
Administrative Support:
Provide general administrative support to the Founder/CEO, including managing calendars, scheduling meetings, and organising travel arrangements.
Support the Community Manager, Communications Manager, and Programming & Editorial Manager with day-to-day tasks, such as handling correspondence, preparing documents, and tracking project timelines.
Assist with expense reports, invoices, and general office management tasks, ensuring the smooth operation of daily activities.
Coordinate travel and logistics for international events, meetings, and partnerships, ensuring seamless operations for the team.
Event Coordination:
Assist with planning and executing G.O.A.T Film Club events, including screenings, Q&As, masterclasses, and industry networking events.
Support logistics and on-the-day operations for events, ensuring a seamless experience for attendees.
Help track event attendance, feedback, and performance metrics to assist in post-event analysis and improvement.
Team Collaboration:
Coordinate internal meetings, taking detailed notes and ensuring action items are followed up.
Act as a key point of contact for the team, ensuring clear communication between departments and external partners.
Assist with volunteer or intern coordination when necessary, helping to manage their tasks and schedules.
Content & Communications Support:
Assist the Communications Manager with social media scheduling, drafting content, and tracking engagement metrics.
Provide support for digital magazine tasks, such as liaising with writers, tracking content deadlines, and assisting with editorial processes.
Help maintain G.O.A.T Film Club’s database, ensuring member and contact information is up to date.
Project Tracking & Reporting:
Assist with tracking the progress of key projects, ensuring deadlines are met and milestones are communicated across the team.
Help compile reports and presentations for internal and external stakeholders.
Document Management:
Manage and organise important documents and files, including contracts, agreements, and project documentation, ensuring they are easily accessible and up to date.
Partnership & Sponsorship Support:
Support the leadership team in coordinating outreach for potential partnerships or sponsorship opportunities, assisting with communications and follow-up.
Key Skills & Experience:
Excellent organisational skills, with the ability to manage multiple tasks and prioritise effectively.
Strong communication skills, both written and verbal, with a professional and approachable demeanour.
Proactive and self-motivated, with a keen eye for detail and the ability to anticipate needs.
Experience providing administrative support or working as a personal assistant in a busy, fast-paced environment.
A team player who enjoys working collaboratively and can adapt to a variety of tasks.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant tools such as Google Workspace, Slack, or Asana.
A passion for the film and TV industry, with an interest in supporting underrepresented voices.
Experience in events coordination or social media management is a plus but not essential.
